ArchimedesVM - System Features Overview The ArchimedesVM system has been developed to offer YOU a complete solution to businesses and organisations that would like to expand their marketing support to their staff in multiple offices and locations. It is built with YOU in mind and everything that helps you to create additional interest in your business can only help to increase sales and generate profits. The system is simple to use. Anyone with or without desk top publishing or design experience can use it due to its familiar web-browser based user interface, in fact it couldn't be easier. The customisation and access levels are tailored to your specific requirements. Any organisation that needs to create multiple versions of materials, such as Councils and Primary Care Trusts could use ArchimedesVM to control what users put out. We've all seen the leaflets that have gone out without approval - full of clip art and spelling mistakes - haven't we. It has for example the potential to maximise the marketing efforts of local managers of a franchise group, giving them simple to use tools to quickly create just about anything - from a sales leaflet and point of sale posters to a newsletter with customised local content. This uses their knowlege of their customers and can increase sales and profits considerably. A marketing department could also use it to create multiple versions of marketing materials automatically 'in-house', ready for bulk print. Groups of templates can also be created where they use common data so that a 'pack' Data such as names, locations, contact details, 'local' images and location maps are set up to automatically populate the template that is chosen to work from. This means that a sixty franchise group no longer has to create sixty versions of a mailer for example for a new marketing initiative - it's all done automatically. This also means that the cost savings can be considerable in terms of agency fees and management time: no longer needing each version signing off. Similarly, if there is a change of location for a remote site, or indeed a new 'branch', the time and cost of updates and revisions or creation of their stationery, business cards Everything produced follows your pre-set Corporate Guidelines, controlled by ArchimedesVM’s Intelligence Engine and allowing approved users to customise and create material that complies with all the company guidelines. We program your Corporate brand Guidelines into its Intelligence Engine, then convert your existing marketing support collaterals into templates that can be customised by end-users. Where appropriate, users can swap images and text from a pre-approved gallery as well as creating their own customised text, all following your Corporate Guidelines' styles for The built in content and financial management modules allow for the appointment of a manager(s) to sign off a submitted order for content and/or financial approval. If you feel hesitant about allowing users to create their own marketing items without any approval from management at all then turning on the approvals function is the solution. This automatically sends a completed job to your marketing department (as an example) for them to check the content and approve it - or not. If the job is not approved for some reason it changes the status back to 'draft' and sends a note to the user with the approvers' comments so that it may be corrected and re-submitted. If it's approved it can then go for financial approval to an appropriate manager, say in an accounts department. Once fully approved the job goes automatically to the next appropriate stage, such as the pre-approved printer or a publication. The approval system is completely flexible to meet your requirements. There is a built in budget system that can be set to control a particular user's spending in a specified period. This can be used as a stand alone tool or in conjunction with the approvals module. A spend bar shows the user exactly how much they have spent in the specified period (monthly for example) against their set budget. This also appears on the approvals pages so the approver knows how much the user has spent and their budget as they look at the job. The budgets and spends for periods are also grouped in the management reporting as Creating Multiple Versions at 'Group' Level A group or area manager could automatically produce multiple versions for their group where appropriate - for a new sales campaign for example or introduction of new products. These could then all be produced together - saving ££££s. If an email attachment is being created for each branch it could then be sent out via Grouping Templates for Automatic Creation & Production A group of templates which then use common data can be created to simplify provision of materials for the launch of a new remote site - perhaps an addition to a hotel group. This could include stationery, business cards, launch invitations, posters etc. making that element of what is probably a very complex project very simple to instigate and easy to administer. The possibilities are endless. When a user goes to the Order page we also collect information relating to the job. This element can also be customised to YOUR requirements. The standard information we ask for is: Management information is fundamental to ArchimedesVM and the Management Reporting interface provides live on-line information about the whole system and its users. The information it provides will tell you about who is doing what and when and keep you informed about new ideas that users have come up with and how they are developing their individual skills in using the system. When a user creates a new mailer or ad' for example the system collects additional information such as dates of an offer and target audience - in fact anything that you decide would be useful data to collect for future analysis. When a manager decides to promote a particular product you have the option to link that information to the sales data so you would soon see how effective the promotion was. Users can be categorised so that data may be collated individually or on a group basis, for example: by user, sales group or geographical area. Once completed and approved the order details are automatically sent for print.
